| Import Contacts |
Before You Begin
You will need the following items before importing contact data to Office Accelerator:
Latest release of Office Accelerator: You can download the latest release of Office Accelerator from www.oasupport.com, or update Office Accelerator by selecting |Help|Automatically Download Updates| from the help menu within the Office Accelerator phone book.
Import Utility Update: Download
and install the Office Accelerator import utility update using the
following URL:

How to Import a Tab Separated File into Office Accelerator
Login into the Office Accelerator phone book and select
|Tools|Import Contacts|, the 'Data Staging Phone Book' will
open.

Note: If you are presented with the following screen when opening
the Data Staging Phone Book, you will need to create an empty
staging database. To do this, enter a name for the empty
database and click |OK| (default data staging directory is
c:\officea\pbook).


Download and run the following file. The download will
create a demo import file to be used with the following
example.

From the Data Staging Utility select |Edit|Restore Default
Values|. Click |Yes| to confirm this action. This step
will ensure that all search keys are reset to default values prior
to a new import.

From the Data Staging Utility select |File|Import| and navigate
to the file entitled myImportFile.txt, located in c:\temp.

Click |OK| and the following screen will appear. Select ‘Tab
Separated Text’ on the left (under Data Format), and click |Update
Fields in File| on the right to view the field mappings in the tab
separated file.

Now map the fields from left to right. In other words, line up
the Accelerator fields on the left side with the header values in
your file on the right side by highlighting an equivalent field
under 'Available Options' and clicking the |Insert Before|
button. If you have a field such as 'Date of Birth' that has
no equivalent matching field, you can map such fields to search
keys which will be converted to custom fields
upon import to the master database.

Note: You can save your mappings by clicking the |Save| button
should you need to modify or re-use the same or similar import.
Click |OK| to begin importing.
When the import is complete, look at the data in the staging
utility. Since we have imported the data to a staging utility, the
data has not yet been imported to the Office Accelerator master
database. This is beneficial in that you can now verify that your
fields were correctly mapped. If the field mappings do not
look correct, you can create another empty Staging Phone Book and
try again. To create another empty staging phone book, select
|File|New| from the Import Staging Utility and enter a name and
location for the empty database.

Once you are satisfied with your data import, click |Send
Contacts to Online Account| and click |Phone Book|. Login
using the same login values you use to login to Office
Accelerator. This will open a wizard that will walk you
through the import of your data to your master database.

When importing data to the Office Accelerator master database, it
is recommended that you create a discrete
folder in the Office Accelerator Phone Book and import your
data to this folder. Doing so will allow you to search for the
newly imported list as a discrete database, copy or move the newly
imported data to other folders, or group delete the entire import
list.
From the wizard, click the |Refresh| button to view the
statistics on your import. The wizard will use the '.pin'
file associated with the Data Staging Utility database, in the
below example it is located in c:\temp. Click |Next| to
continue.

Select the owner of the
contacts and click |Next|.

Select the folders where you would like to import the
data. As suggested above, it
is recommended that you import data to a discrete folder such as
that shown below. Click |Next| to continue.

You can enable duplicate checking upon import. Doing so
will merge the differences of the same or similar contact into one
contact.

It is recommended that you import data with 'Full Access to
Everyone' enabled. Modifications to contact access level and
ownership of contacts can be changed globally after the import is
complete. Click |Next| to continue.

To complete the import process, click the |Import Now|
button.

There are additional screens that may appear within the wizard
based upon the type of information within your database such as
categories and search keys. These screens are self
explanatory, but should you have questions please contact Accelerator
Support for further assistance.
View and Import Legacy Accelerator Phone Books
Using the Office Accelerator Import Staging Phone Book and
Calendar, administrators can view and import legacy Office
Accelerator databases from earlier versions 2 - 9.

Office Accelerator versions 2-7 are in paradox format, and 8-9 are
in Microsoft Access format. Databases above version 9 cannot
be viewed using the staging utility but can be uploaded to Baseline
for conversion to SQL format by contacting support @
800-429-5325.
To view a legacy phone book, click |Tools|Import Contacts|, the
Accelerator Staging Phone Book will open.

Browse to the directory location of your legacy phone book and
click |OK| to open it. You may be asked to convert and
rebuild the phone book before opening. Once the conversion
and rebuild process is complete, highlight the phone book and click
|OK| to open.

Click |Yes| to Convert.

Highlight the converted phone book and click |Rebuild| before
opening.
To import the legacy phone book to your Office Accelerator
master database, click |Send Contacts to Online Account|.

Select |Phone Book|.

Login to Accelerator.

Follow the steps in the Import Wizard to import your data.
